Invoicing Lifecycle and Statuses

Clientary supports multiple statuses for an invoice.

Draft invoices cannot be viewed by a client even if the client is invited into the client portal with access to past and current invoices.

Sent invoices are viewable by a client and transition to this status if either sent through the Send Invoice functionality, which emails the invoice to a list of recipient Contacts for the Client or is marked as Sent. You can use the Mark as Sent functionality to manually move invoices to this status to reflect invoices that were sent outside of Clientary, such as through manual link sharing or via physical delivery.

Open invoices are sent invoices that are confirmed to have been viewed by at least one Contact from the Client. Note that manually sent invoices cannot be tracked, so the invoices may stay in Sent status.

Paid orĀ Partially Paid invoices are invoices with at least one payment. Clientary will automatically track the balance of the invoice as payments are manually recorded or transactions are processed through online payments.

Voided invoices represent invoices where the balance is no longer expected to be paid. Note that once an invoice has been sent, it will need to be voided before it can be moved back to a draft status.
